Best Practices for Your Email & Calendar

The following are best practices to keep in mind when using your WSU email and calendar. Unless otherwise noted, these apply to Microsoft Outlook 2010 for Windows and Outlook 2011 for the Mac. If you have questions about any of the topics presented here, please contact the Help Desk.

1) Always respond to each meeting request you receive.

When you receive a meeting request in your Inbox, you should decide what to do with that request and respond appropriately. By selecting 'Accept,' 'Tentative', 'Decline,' or 'Propose New Time,' you are letting the meeting organizer know your intentions about the meeting. If you delete the meeting request it will be removed from your calendar and the organizer will not be notified what you have decided. This will also prevent you from having to manage multiple requests for a meeting in case the organizer decides to change any information about the meeting.

2) Use the Outlook Web App or Microsoft Outlook clients to manage your email & calendar.

Outlook Web App gives you access to your email, calendar, and contacts from your web browser. Microsoft Outlook 2010 for Windows and Outlook 2011 for Mac give you the full functionality of your email, calendar, and contacts, and stores that information on a Microsoft Exchange server. Programs such as Thunderbird and Mac Mail do not provide full syncing functionality for your account. 3) Don’t use iCal to manage your calendar.

Using iCal to manage your calendar may cause issues with meetings on your calendar. The meetings may get deleted or outdated. CaTS highly recommends that you use Microsoft Outlook 2011 on a Mac for access to your email and calendar. If you want to use Mac Mail to access your email, we strongly suggest you use Outlook Web App to manage your calendar instead of iCal.

4) Remove any meeting cancellation you receive.

If you receive a meeting cancellation, click "Remove from Calendar" to remove the meeting from your calendar. Simply deleting the cancellation from your Inbox won't remove the meeting from your calendar.

5) Always send meeting updates.

If you modify one of your own meeting requests, you should always send invitees an update. To do so, click the "Send Update" button inside the meeting request window.

6) Let someone know if you give them permission to see your calendar.

After setting calendar permissions for someone to view your calendar, you should always let them know via email or phone that you have set those permissions for them. That person will then need to open your calendar using the instructions outlined on the following pages:

Print a Message in Outlook Web App (OWA)

If you would like to print an email message from within Outlook Web App, follow these steps.

  1. After logging in to Outlook Web App, double-click on the email message you want to print.
  2. On the top bar, near the middle, you'll see a printer icon.
  3. Click the icon to see a printable view of your email.
  4. Use the print dialog box that appears with the printable view to print your message.
  5. Note: If you don't double-click the message before trying to print, you will instead get a printout of the entire screen, including your folder list on the left and the menu bar at the top.

Calendar Permissions: Letting Others See Your Calendar

If you would like others to see your calendar, CaTS recommends that you set permissions for those users instead of using the "Share Your Calendar" option available in Outlook and Outlook Web App (OWA). Using the "Share Your Calendar" feature will cause unexpected permissions changes to any that you have already set.

Best Practices for Calendar Permissions

Turn Off Junk Email Filtering in Outlook and Outlook Web App (OWA)

CaTS continues to work on minimizing the amount of valid e-mail which is being sent to your "Junk E-Mail" folder. If this is a problem for you, this feature can be safely turned off so that all messages are delivered to your inbox. The university is continuing to use the Proofpoint antispam/antivirus services which accurately identifies and quarantines actual spam before it gets to the Microsoft mail servers.

The following procedures can be used to turn off Junk E-Mail filtering within RaiderMail. Note that if you use an email client other than Outlook Web App (OWA) or Microsoft Outlook, please use the instructions outlined below for "Outlook Web App (OWA)".

Outlook Web App (OWA)


1.Log in to Outlook Web App.
2.In the top right corner, click on Options then See All Options...
3.Click Block or Allow on the left side menu.
4.Choose the option for Don't move e-mail to my Junk E-Mail folder.
5.Click Save in the bottom right corner.


Outlook 2010


1.Open Outlook 2010.
2.Click the Home tab if not already selected.
3.In the Delete subgroup, click the Junk' drop down menu.
4.Choose Junk E-mail Options...
5.Choose the option for No Automatic Filtering.
6.Click OK.


Outlook 2011


1.Open Outlook 2011.
2.From the Home tab, select the Junk button.
3.Choose Junk E-mail Protection... from the drop down menu.
4.In the Junk E-mail Options window, the Level Tab is selected by default. Select the No Automatic Filtering radio button under this tab.
5.Click the OK button.
 

Turn Off the Conversation View

In both Outlook Web App and the Outlook email program, conversation view is the complete chain of email messages from the first message through all responses. This has also been referred to as a thread. Some our our clients have called the Help Desk to tell us they have missing messages. Usually, this is because Conversation View is turned on, which groups all replies to a message together. If you don't like the conversation view, you can turn it off so that all messages are displayed separately. Here's how to do so for Outlook Web App , Outlook 2010, and Outlook 2011.
 

Outlook Web App (OWA)


1.After logging in to Outlook Web App, look for the View drop-down menu, located just above the list of your emails.
2.Click View, then look for the Group by Conversations section.
3.Uncheck the option for Use Conversations. This will disable conversation view for the folder you are currently viewing.
4.You must perform these steps for each email folder you have.


Outlook 2010


1.Open Outlook 2010.
2.Click the View tab.
3.In the Conversations subgroup, uncheck the box for Show as Conversations.
4.Choose whether to turn it off for all folders, or just the folder that you are currently using.

Outlook 2011


1.Open Outlook 2011.
2.Click Organize.
3.Click on the Conversation icon. This button is a toggle, so clicking it once will DISABLE conversations since they are enabled by default
 

Reminder: Official University Calendar Switch

CaTS would like to remind you that as of today, February 1, the new RaiderMail calendar is now the official Wright State University enterprise calendar. This calendar should now be used to schedule meetings and appointments.

The previous Communications Express (WINGS) Calendar system has now been set to a read-only mode, so you will not be able to add or remove appointments on this calendar. You will be able to view this calendar until June 30, 2013, at which point it will removed. Until this date you can still access your calendar to copy or print your appointment history. If you would like assistance with copying or printing your appointment history, please contact the CaTS Help Desk.

As a reminder, appointments in the Communications Express (WINGS) Calendar were not transitioned to the RaiderMail Calendar. You must re-create all appointments and meetings.

*Windows 8 Information*


As you may know, Microsoft recently introduced Windows 8, the newest version of the Windows operating system. CaTS, in conjunction with departmental tech coordinators, has been evaluating Windows 8 for compatibility with key applications and systems. At this time, there are no plans to install Windows 8 on university-owned computers in the near future.

Windows 8 is likely to introduce compatibility issues with important academic and administrative applications. The heavily redesigned user interface has also come under criticism from the industry and may prove difficult for many users to adapt to. CaTS has historically held off support for a major new OS version until the release of the first service pack and used that 6-9 month period for testing and evaluation. Windows 7 has now been widely adopted on campus and there are few compelling reasons to embark on upgrades.

If you have purchased a new computer for personal (not university) use that has Windows 8 installed, CaTS will offer our support, but cannot guarantee that we can resolve any issues with Windows 8.


*RaiderMail Calendar Information*


As was previously announced, Wright State University will be adopting the RaiderMail Calendar on February 1, 2013, as the new enterprise calendar. To help make your transition to the new calendar easier, CaTS has compiled a list of known issues that you may come across when using the RaiderMail calendar. The RaiderMail Known Issues website (linked below) contains information on these issues, along with resolutions (if any), and the current status of the issue. CaTS encourages you to report any issues you may come across when using the RaiderMail Calendar.

Important Information Concerning WINGS Calendar Notifications

CaTS wants you to know that email notifications/reminders for WINGS Calendar events that are scheduled during the period of March 11 – April 1, 2012, will appear to be one hour behind the scheduled meeting time. Also, the notifications will display the wrong time zone identifier (e.g. EST instead of EDT).

Please be sure to verify all scheduled meetings during this period on your calendar instead of relying on reminders. The event time listed on your calendar will be correct.
