About Lytho
Welcome to Lytho—University Communication and Marketing’s project request and workflow management system.
Lytho will be beneficial to you, the requestor, and to us, working on your projects.
Lytho is a creative operations platform that University Communications and Marketing (UCM) uses to receive project requests and gather critical feedback and approvals on projects as they near completion.
If you’re interested in getting assistance from our team, Lytho is the way to do it!
We’ve adopted Lytho to:
- Simplify our project management
- Keep all project-related content and communication in one place
- Make our review process more efficient
- Provide more transparency to campus partners
In Lytho, you’ll be able to:
- Submit multiple requests through one form for a comprehensive list of projects needed for your initiative.
- Track the progress of your projects from start to finish.
- Review and approve documents, provide your feedback, and see all previous versions in one proofing window.
The request, communication, reviews, and files will be in one centralized location—cultivating an environment of success from beginning to end.
We hope you enjoy using it!
Before You Submit a Request
What You Need to Know
Please submit your requests at least 12 weeks in advance of the due date. Once a request is submitted, we’ll review and follow up for an initial project request meeting to explore details.
We have two request forms available in Lytho: The Communications and Marketing Request form and the Order Existing Photos Request form.
Use the Communications and Marketing Request form when you need one or more deliverables for your project.

Review Process and Feedback
Feedback Expectations
Once a project is ready for review, you’ll receive an email with the subject line “You’ve been invited to review the proof.” Once you click Start your Review, you’ll be taken to the proof to provide feedback within Lytho.
You can leave your feedback in many different ways using the toolbar across the top. Select your markup method and leave your feedback in the comment box, then click Add Comment to save your markup.
Collaborate with a teammate by using the @ symbol followed by their name in your comments. All conversations must be resolved at the end of a review period so there is clear direction on the final edits are needed.
To submit your review, select a review status (Approved, Approved with Changes, or Make Changes and Resubmit) then click Submit Review. For multi-page documents, you select Current Asset to leave the same review status for the entire document.
Provide clear and actionable feedback.

Partner Review Workflow
Our team will work on your project using the agreed-upon strategy discussed at kickoff. Once it is ready for review, the following steps will be followed:
-
Partner Review 1 (PRv1)
Partner has 5 days to review
Any major content changes should be addressed at this time. Please refrain from providing vague comments or changes based on personal preference. Be as specific or constructive as possible to help keep the project on track.
-
Partner Review 2 (PRv2)
Partner has 3 days to review
This review is to make sure previous feedback was appropriately incorporated and your final opportunity to correct any factual or grammatical errors.
If major content changes are still required at this stage, a meeting will be scheduled to discuss the original agreed-upon strategy to get the project back on track.
-
Partner Review 3 (PRv3)
Partner has 3 days to review
This review is approval for print usage. Please ensure any previous feedback has been incorporated. After this review, the project will undergo a final marketing review.
-
Partner Review Final (PRFINAL)
Partner has 2 days to review
If there were significant changes and suggestions from the final marketing review, a final partner review will be provided. This is only for the partner to review major edits.
NOTES: Feedback is to be applied in a clean and concise format, ensuring it is direct, reflects all the input from the content experts, and includes suggestions for photo and copy replacement where possible. It should not veer away from the agreed-upon strategy or include personal preference.
- Partner reviews are in the Lytho platform, not on a PDF.
- Final PDFs are to only be used for internal archiving purposes and/or printing.
- PDFs are required to be accessible and ADA-compliant when sent to audiences. A PDF should never be a substitute for actual content on a webpage, social media post, or email.
- Do not send emails with non-accessible PDFs attached.
- Do not upload non-accessible PDFs to websites.
- Visit the Digital Accessibility Requirements webpage for more information.
