SAP Policy for Renewable Scholarships
Spring 2012 SAP Requirements
The academic history of students receiving Academic Performance Scholarships and Miscellaneous Renewable Scholarships will be annually reviewed for two standards by the Office of Financial Aid to determine renewable scholarship eligibility:
- Cumulative GPA
- Number of credit hours earned during annual review (or cumulative credit hours earned)
The final review process for renewable scholarship SAP requirements is performed after spring grades are posted. If scholarship SAP requirements are met and the student has at least one term of unused scholarship eligibility remaining, the scholarship is automatically renewed and posted to the student's Award Notice for the following academic year.
NOTE: Students who have received scholarships from the category of College and Department Scholarships will have the renewal decisions made by the awarding college or department.
Cumulative GPA and Credit Hours Requirements
Students must meet both the minimum cumulative GPA and credit hours in order to maintain scholarship eligibility at Wright State University.
Renewable Scholarships (except McLin, Dunbar, & Wright STEPP Scholars) SAP Status Minimum Cumulative GPA Credit Hours Required Per Year Good Standing 3.0 45* Warning 2.8 41 *In order to meet the 45 credit hours required, students should earn an average of 15 credit hours per quarter. McLin, Dunbar, & Wright STEPP Renewable Scholarships SAP Status Minimum Cumulative GPA Credit Hours Required Per Year Good Standing 2.5 36* Warning 2.3 32 *In order to meet the 36 credit hours required, students should earn an average of 12 credit hours per quarter.
Calculating Renewal Eligibility RequirementsFor scholarship renewal purposes, cumulative GPA and credit hours earned during the current academic year are reviewed. If the minimum required hours are not met, cumulative hours will be reviewed. For example:
- If the scholarship requires 45 credit hours per year, after 6 quarters of scholarship eligibility is used, the student should have earned 90 credit hours (6 qtrs x 15 hrs per qtr = 90 cum hrs).
- If the scholarship requires 36 credit hours per year, after 6 quarters of scholarship eligibility is used, the student should have earned 72 credit hours (6 qtrs x 12 hrs per qtr = 72 cum hrs).
Students may attend the following summer quarter to make up any deficient hours, and/or raise their cumulative GPA. Please send an e-mail to scholarships@wright.edu if you have taken summer classes and you feel your eligibility status has changed. Cumulative credit hours also include Post-Secondary Education Opportunity (PSEO) hours earned during high school as well as transfer credit hours.
If the total hours earned and cumulative GPA meets the requirement for renewal of the scholarship and the student has remaining eligibility, the scholarship is awarded for the following aid year.
Calculating Remaining Eligibility
Renewable Scholarships are awarded for 4 years (or 12 quarters or 8 semesters) of full-time undergraduate study (except most transfer scholarships which are awarded for 2 years [or 6 quarters or 4 semesters] of undergraduate study). For each academic term (i.e. quarter or semester) in which the student has not met the required renewal stipulations of the scholarship, one academic term of scholarship eligibility is lost.
SAP Status
Good Standing: The student (a) has met the minimum required cumulative GPA and (b) earned the minimum required credit hours (or cumulative credit hours) during the annual review period for Good Standing. The scholarship is renewed and posted to the student’s account for the following aid year based on remaining eligibility.
Warning: The student has not met the SAP scholarship requirements for Good Standing. However, the student meets the requirements for Warning status and has remaining eligibility. A student is assigned a Warning status for no more than three quarters. If, at the end of the Warning period, the student has not regained Good Standing, the scholarship is terminated. A student cannot be assigned a Warning after being assigned Good Standing by Appeal.
Unsatisfactory: The student has not met one or both of the SAP scholarship requirements for Good Standing. The student is ineligible for the renewable scholarship for the following aid year. Students will remain ineligible unless they successfully appeal or re-establish eligibility on their own. Students may appeal one-time only for continued use of remaining eligibility. For each academic term (i.e. quarter or semester) in which the student has not met the required renewal stipulations of the scholarship, one academic term of scholarship eligibility is lost.
Good Standing by Appeal: The student has successfully appealed an “Unsatisfactory” status and the renewable scholarship is awarded based on stipulations as stated in the scholarship appeal approval letter.Terminated: The student (a) has not met one or both of the SAP scholarship requirements for Good Standing and (b) had been assigned an Unsatisfactory or Warning status for a previous aid year and (c) has failed to regain Good Standing. The renewable scholarship has been terminated.
Canceled: A finding of responsibility for a violation of academic misconduct will result in the cancelation all university scholarships.
Notifications
Students with a Warning, Unsatisfactory, or Terminated scholarship SAP status will receive written notification from the Office of Financial Aid via U.S. mail explaining the status and options available. To ensure receipt of this letter, please review your contact information in WINGS Express.
Appealing an Unsatisfactory SAP Status
Students who have been assigned an Unsatisfactory SAP scholarship status may submit an appeal. The option to appeal is only offered one-time during undergraduate studies.
To appeal, students must submit a written statement of their circumstance to the Office of Financial Aid. The letter of appeal should include an explanation that caused the difficulty and what steps will be taken to remedy the problem. Please include your University ID (UID) on all correspondence. Letters of appeal may be submitted via your Wright State University e-mail to scholarships@wright.edu, by facsimile to (937) 775-5795, or mailed to: Associate Director for Scholarships, Office of Financial Aid, Wright State University, 3460 Colonel Glenn Hwy, Dayton, Ohio 45435. Students will receive a decision of the appeal via U.S. mail.
Appeals received for McLin, Wright STEPP or College and Department Scholarships will be forwarded to the appropriate individual/committee for review.
Reinstatement of Renewable Scholarship Eligibility
Students who have been assigned a Terminated or Unsatisfactory scholarship SAP status may re-establish eligibility on their own. University policy permits the scholarship to be reinstated when the required cumulative grade point average is achieved. To request a review for scholarship reinstatement, send written notification to scholarships@wright.edu. For each academic term (i.e. quarter or semester) in which the student has not met the required renewal stipulations of the scholarship, one academic term of scholarship eligibility is lost.
Scholarship SAP and Federal Student Aid SAP
It is important to note that it is possible for a student to have a scholarship SAP issue and a federal student aid SAP issue at the same time. If a student has been notified of an issue with both SAP policies, they must submit an appeal for each issue. All appeals should be sent from the student’s Wright State University e-mail address. Scholarship SAP appeals should be sent to scholarships@wright.edu. For more information on appealing an unsatisfactory SAP status for federal student aid, visit our Satisfactory Academic Progress (SAP) Appeal page.
Special Circumstances & Exceptions
Full Tuition Scholarships
If you have a full tuition scholarship and are registered for more than 18 credit hours in any term, please send an email to scholarships@wright.edu so that your tuition award can be increased to cover the additional tuition costs.
Leave of Absence
If you will not be attending a particular academic term due to circumstances such as a birth of a child, being called to active duty by the military, etc., you may request a scholarship leave of absence by sending an email to scholarships@wright.edu. By doing so, you will be able to utilize your renewable scholarship when you return to Wright State University without losing a term of eligibility.
Summer Term
Renewable scholarships may be requested for use in the summer term by completing the Summer Scholarship Request Form. This form is available from the Office of Financial Aid each spring. You must be registered for summer classes prior to submitting this form. Please note that most scholarships require you to attend full-time. By using the scholarship during summer, one academic term of eligibility is counted and renewal stipulations (GPA and hours) apply.
Approval to use a renewable scholarship during summer is based on review of current academic progress, remaining eligibility and projected graduation. Your renewable scholarship for summer will be canceled if you do not meet renewal requirements after spring grades are posted. If applicable, your renewable scholarship eligibility will be reviewed after summer grades are posted to be sure you still meet renewal stipulations to receive your award for the remainder of the academic year.
Other Exceptions
Please e-mail scholarships@wright.edu regarding special circumstances that may affect your scholarship, such as co-op, study abroad, extensions, or attending part time during your final year. These requests for exception will be reviewed on a case by case basis.
