with different rank), how is this handled?
How are stipends paid where a flat rate is indicated on the time
card?
How does an approver complete a timesheet for an employee who either
hasn't started one or, has a timesheet already in progress but is
unable to complete it?
Who should be contacted if a timesheet I approve does not appear?
Who should I contact if the Employee tab doesn't show up once I log
in to WINGS Express?
Where can I find more information about Human Resource changes?
Do I have to fill in my time card on campus?
No, time sheets can be accessed anywhere you can access the Internet.
Can time only be entered in hourly increments?
No, staff employees enter time in quarterly decimal increments. For example:
4.25 = 4 hours 15 minutes, 4.75 = 4 hours 45 minutes. Students
should enter time in 15 minute increments and always include a colon. It
is
also important
to remember to enter AM or PM correctly for your shift.
Why do we have a new UID and PIN?
Your 9-digit University ID Number (UID) is assigned to you when you apply
as a student or are affiliated with Wright State University.
It replaces the use of your Social Security Number. Your UID never changes
and is
never re-used.
It is not your Social Security number. It is your permanent,
unique
ID number identifying you as a member of the University
community.
Can hours be input daily or does the time sheet need to be completed at
the end of two weeks?
Yes, time can be saved or corrected daily. Save after
each input
or correction. Remember: Only submit for approval when ALL hours have been
entered for the entire pay period.
Do I need to enter zeros on days I haven't worked?
No, only enter a zero to make a correction.
When will time sheets be due to payroll?
Time sheets will typically ned to be submitted to Payroll by a supervisor
no later than 2pm on Monday following a pay period. Once a
time sheet has been approved
by a supervisor, changes can only be made by Payroll.
Will there be designations for 2nd and 3rd shift?
Yes, you should choose the shift that you worked that day. Example:
If you worked 8 hours on 1st shift, you would enter those
hours under Shift 1. If you came
back in and worked a 3rd shift for someone else, you would enter
those hours under Shift 3. The system will determine if you receive
shift differential
or
not.
What happens when the combined student hours are over 20 hours
in two different departments?
Each supervisor will only see
a time sheet for their organization.
This process is the same as when hardcopy timecards were turned
in for two different areas. The supervisors and employee will
be notified by Student Employment of
the hours turned in over their allowance.
Can time sheets be submitted early during the active time period?
Yes, time sheets can be submitted to the supervisors as soon
as the pay period becomes active. If the time submitted needs
to be changed, the employee
should
make the changes. If the time sheet has already been submitted,
Payroll must then make the changes.
Regarding proxies, can the supervisor pick one person for student approval
and a different person for staff approval?
Yes. Make sure your Budget Manager is aware of the proxies
you wish to set up.
If a supervisor doesn't approve and submit time sheets by the
deadline, is the proxy notified?
No, verbal communication needs
to occur between the
supervisor
and proxy about time sheets that need to be approved.
How will holiday and administrative leave be handled?
When holidays or administrative time occur during a
pay period, additional lines will be provided on the time sheet.
Are paper copies of time sheets a good idea since there
will only be limited access to previous records?
It is your
decision if you want to print online
information. You can choose to print from
your browser for record keeping.
Will vacation and sick leave forms (White Forms) be approved
through this system?
That piece of time entry will be rolled
out later in the quarter.
When will Wright Online (WOL) go
away? WOL will be accessible for historic data, but new
information will not be available.
All information after January 1, 2006 will be
available in WINGS Express.
What if I am a supervisor and I will be out when time cards
are due?
With the new time entry system, supervisors have
more flexibility than they had in the past. If you are out of
the
office when time cards are due, you have two
options:
- If you have Internet access, simply
review and approve timecards online.
- Set up a proxy who can approve
your time
cards on your behalf.
What happens if an employee does not have access to WINGS or
WINGS Express?

How does an employee know that their supervisor has submitted the time
card to payroll?
The time card will say Approved By: <supervisor's name> at
the bottom.
How will students log time
if they work 11pm on Monday
and finish
their shift
the next day at 6am?
Hours should be
reported on the day they worked. For
example, 11pm
- 12am should
be
reported
on Monday
and 12 - 6am
should be
reported on Tuesday.
If a student employee forgets to submit a time sheet and wants to enter
2 pay periods at once, is this possible?
No,
only submit time sheets in the current
pay period.

Use the Extract, Change Time Record
process.

Manager. Your Budget Manager must then e-mail
Payroll with
the information.
