CONSTITUTION

I. NAME

The name of this organization shall be the Society of American Archivists, Wright State University Chapter (WSU SAA).

II. PURPOSE

The Society of American Archivists, Wright State University Chapter shall exist to:

  • Serve as a means of introducing new archivists into the profession;
  • Enhance the educational function by providing an additional focus for the students to discuss archival issues, identify with the profession, and engage in professional activities;
  • Promote communication among student members;
  • Develop the leaders of tomorrow's archival profession; and
  • Attract new members into the Society of American Archivists.

III. MEMBERSHIP

Any student of Wright State University or member of the faculty or staff shall be eligible for membership regardless of race, sex, color, religion, ancestry, national origin, age, disability, veteran status, or sexual orientation.

Regular attendance is strongly encouraged. Active membership requires one membership meeting and/or one activity per quarter.

Annual membership dues will be $10.

There shall be at least five (5) members in good standing with the SAA to maintain status as a student chapter.

IV. OFFICERS

The officers of the Society of American Archivists, Wright State Chapter shall consist of: President, Vice President, Treasurer, and Secretary.

All officers shall serve a one year term and fulfill the duties of their office as described in the chapter officer job descriptions:

It shall be the duty of the President to:

  1. Preside at all meetings of the Association.
  2. Write an Annual Report to send to the SAA national organization.
  3. Schedule activities for the organization, and obtain appropriate facilities for these activities.
  4. Prepare and file any report required by the University and participate in University training exercises.
  5. Register organization with Student Government as needed.
  6. Perform other duties as needed.

It shall be the duty of the Vice-president to:

  1. Preside at all meetings in the absence of the President.
  2. And/or perform related duties.
  3. Perform other duties as needed.

It shall be the duty of the Secretary to:

  1. Keep all records except the financial reports.
  2. Keep and post the minutes of each meeting.
  3. Handle all official correspondence of the organization.
  4. Perform other duties as needed.

It shall be the duty of the Treasurer to:

  1. Keep all financial records of the organization.
  2. Submit financial records to Office of Student Life per their request.
  3. Become familiar with University accounting procedures.
  4. Perform other duties as needed.

All officers shall be elected during Spring Quarter and shall take office Fall Quarter of the upcoming school year with the term being one year.

All nominations for officers shall be made by April 30.

Officers shall be elected by email ballot organized by the outgoing President.

All officers must be currently enrolled in at least one course per quarter the office is held (summer excluded).

If an officer vacancy should occur, an interim replacement shall be appointed by the officers, chapter advisor, and/or the Director of the Public History program to serve until the next regularly scheduled election.

All officers must be a member in good standing with the SAA national organization.

V. COMMITTEES

Ad hoc committees will be formed as needed by the chapter.

VI. MEETINGS

Officers will meet a minimum of once per quarter.

There will be at least one general membership meeting per quarter.

VII. AMENDMENTS

Amendments to this constitution may be submitted in writing (email acceptable) at a general membership meeting and must receive a simple majority to pass.
