Discontinuation of Duo Mobile App One-Time Passcodes

Due to a security issue that can be exploited when using the one-time passcodes generated in the Duo Mobile App, CaTS will be disabling this feature on June 30th, 2023.  These codes do not expire until they are used, which allows hackers to capture the one-time passcodes via a fraudulent authentication page.  With an individual’s password and the one-time passcode, the hacker can then add their phone number as an authorized 2FA device.

To protect the Wright State community from this exploit, CaTS will be disabling the use of Duo Mobile generated one-time passcodes on Friday, June 30th.  Individuals will instead be required to use the Duo Push option in combination with the Duo Mobile App.

This change will not affect the other methods of authenticating via Duo, such as push notifications (preferred), the phone call feature (Faculty and Staff only), SMS/text passcodes, and FOB access codes.

Important Update Regarding Pilot Course Retention Project

On August 8, 2022 CaTS announced as part of the CaTS-ITS Resource Alignment and Retention Project that beginning on Thursday, May 4, 2023, courses in Pilot that had not been accessed in the last six academic years would be deleted. Due to recently discovered technical limitations, it could not be guaranteed that critical data would not be purged; therefore, this part of the project has been postponed indefinitely.

CaTS is actively working with the vendor to identify and resolve any questions related to the storage location of files within Pilot.  Once these limitations have been addressed, CaTS will announce a new date on which the Retention Project will continue.

Changes in retention policies that are already in place for WebEx and Panopto will not be affected by this postponement.

Important Information About Exporting Grades from Pilot to Banner

CaTS is currently experiencing issues with the Pilot to Banner grade exportation process. When attempting to export grades from Pilot to Banner, some Faculty members are receiving an error message indicating the process has failed. In most cases, the grade push was actually successful, despite Pilot showing a ‘false failure’ notification. 
 
CaTS is aware of this issue and is working with the vendor on a resolution. In the meantime, please follow the steps below to determine if your attempted grade export was successful:

  1. Log into your course in Pilot, and push your grades to Banner 
  2. In WINGS Express, verify if the grade push was successful (instructions for verifying grades)
  3. If any student grades did NOT go through, attempt to push them again from Pilot
  4. Verify if the second attempted grade push in WINGS Express was successful
  5. If the push is still unsuccessful, manually add your grades in WINGS Express (instructions for submitting grades)

Proofpoint SecureShare Currently Unavailable

CaTS has been made aware that Proofpoint SecureShare is currently experiencing authentication issues, causing users to receive a login failure error message when attempting to access this service.

CaTS is monitoring this situation and will notify campus once this issue has been resolved.

Critical Windows 10 v22H2 Security Update

Microsoft recently released Windows 10 version 22H2, which offers a set of features for select performance improvements and critical updates.  This new release is critical to ensure ongoing support for the University’s Windows computers, including future security updates.

What actions do I need to take on my University-Owned Windows computer?
On April 3rd, the 22H2 self-service upgrade becomes available In Software Center.  CaTS recommends installing the latest version of Windows at your earliest convenience.  This upgrade will also become available for Persistent VDIs in May.

What if this is not completed?
Earlier versions of Windows 10 will soon be unsupported.  To ensure data security and consistent user experiences, if a computer has not been upgraded through Self-Service by the Fall Semester, automatic installations will be initiated during the Wednesday Morning Maintenance Window.

What about CaTS-Supported Classrooms and Computer Labs?
CaTS Classroom Technology Support will be deploying Windows 10 22H2 this summer, and all spaces will be updated by the beginning of the Fall 2023 Semester.

What about University-Owned Mac (Apple) computers?
The latest Mac Operating System (Ventura) was released earlier this year on CaTS-maintained Apple computers.  If you have questions about your Mac, please contact the CaTS Help Desk.

Microsoft Office 2021 Now Available for University Windows Computers

CaTS has completed testing on the latest version of Microsoft Office, which offers features and necessary updates to performance and security. This new release is critical to ensure ongoing support for the University’s Windows computers.
 
What actions do I need to take on my University-Owned Windows computer? 

On January 30, the Microsoft Office 2021 self-service installation became available In Software Center.  CaTS recommends installing the latest version of Office at your earliest convenience.

What if this is not completed?

Office 2019 (or any version prior) will not be supported by Microsoft or CaTS later this year.  To ensure data security and consistent user experiences, if a computer has not been upgraded through Self-Service by the Fall Semester, automatic installations will begin without further notification.

Reminder: Important Information Regarding Pilot

Thank you for reading this important message about the 3rd and final phase of the CaTS-ITS Resource Alignment and Retention Project outlining the purge of Pilot course data.

Why is this happening?
The CaTS-ITS department worked with the Faculty Senate IT Subcommittee during the March 2022 meeting and shared the need for a retention schedule for Pilot. A retention schedule ensures system security best practices, but it will allow for improved system performance and reduce storage needs.  

When is this happening?
ITS will delete courses that have not been accessed in the last six academic years on Thursday, May 4, 2023. Courses that show no record of access before the date of July 31, 2016, will be purged from Pilot.  ITS is working from a September 2022 database to make the determinations.

Going forward, Pilot course content will be kept for six academic years at a time and ITS will complete an annual purge.

What do I need to do?
Extended time has been given so that faculty and staff can download courses you may want to preserve. Instructions can be found at http://www.wright.edu/its-project.

ITS will not backup this course data.

Where will I store my courses and who can help?
Courses can be zipped and downloaded to local, network or OneDrive storage.

The CaTS Help Desk was recently made aware that yesterday afternoon a large number of Wright State faculty, staff, and students received an email from an Alexa Brown at Retirement Expert with a subject line of ‘Retirement And Pension Meetings for Wright State University Employees’ indicating eligibility to receive a free consultation for retirement benefits. Please be aware that this message originated from a third-party organization that is NOT affiliated with Wright State University.

Employees are advised to NOT reach out or provide any personal or financial information to them.

Important Information Regarding 'Email Bombing'

Recently CaTS has noticed an increase in Wright State members who are targets of an IT security incident called 'email bombing'.

What is email bombing?

Email bombing is when an attacker registers your email address with hundreds or thousands of mailing lists.

Why was I targeted for email bombing?

The most likely reason someone is doing this to you is because they are trying to hack your account or overwhelm your inbox with messages so that you don't notice an important email about fraudulent activity. People who deal with financial data are more commonly targeted.

A lot of the emails I am getting have an unsubscribe button. Should I click it?

In general, we don't recommend trying to unsubscribe from mailing lists. Most reputable services that do mailings, won't email more than once unless you have confirmed your subscription. Less reputable services may unsubscribe you, but then sell your address to other services.

Can CaTS, Microsoft, or Google block these emails from being sent to me?

Unfortunately this is difficult because the attacker is not directly emailing you. Instead, the attacker is likely using a bot network of hundreds/thousands of IP addresses that are browsing to legitimate websites, entering your email address, and signing you up to receive a newsletter. Some people want to receive some of these newsletters so we cannot globally block them. We cannot block the emails based on the sender's IP address because they are coming from a legitimate newsletter website. We can block the emails based on keywords in the sender address, subject, or body of the email but we run the risk of blocking legitimate emails if we get the filters wrong.
