How to fill a Classified position?

1. Complete and submit a Strategic Hire Request Form to the Office of the Provost (256 University Hall) for approval.

2. Create the position in PeopleAdmin and attach the signed Strategic Hire Form to the position posting.

3. Once the position is approved by all parties, it will be posted for 10 business days. If the position is to be advertised with outside advertising sources, HR will place the ad(s) with the requested sources.

  • Hiring department pays for advertising.

4. Referral Process:

  • HR reviews all applications.
  • If position is tested, HR schedules the top 10 most-qualified applicants for testing.
    • Once testing is complete, HR refers the applicants to the hiring department for interview via PeopleAdmin. 
  • If position is not tested, HR refers the top 10 most-qualified applicants to the hiring department for interview.
  • Note: The hiring department is not able to view the applications until HR releases the top 10 applications.

5. Interview and Selection Process:

  • The hiring department must interview all referred applicants.
  • Once a selection is made, the hiring department must contact HR to verify the pay rate to be offered.

6. Verbal Offer and Background Checks:

  • Hiring departments makes a verbal offer 'contingent on successful background check results'.
    • All new hires must go through a criminal background check process.
  • Once the 'verbal' offer is accepted, the hiring department must contact HR to request a background check.
  • HR conducts all background checks and notifies the hiring department, once the results are received.
  • Once the background check process is completed and the applicant is approved for hire, the hiring department must complete and submit a Personnel Action Form to HR along with the Affirmative Action Data Sheet.
    • HR sends the Affirmative Action Data Sheet to the hiring deparment once the position is posted.
  • HR initiates and sends the formal offer letter.
  • Upon receiving the Personnel Action Form for the new hire, HR updates all the applicants' statuses in PeopleAdmin.
  • PeopleAdmin automatically notifies the applicants who are not selected for the position.

How to fill an Unclassified Hourly position?

1. Complete and submit a Strategic Hire Request Form to the Office of the Provost for approval.

2. Create the position in PeopleAdmin and attach the signed Strategic Hire Form to the position posting.

3. Once the position is approved by all parties, it will be posted for 7 business days. If the position is to be advertised with outside advertising sources, HR will place the ad(s) with the requested sources.

  • Hiring department pays for advertising.

4. Referral Process:

  • HR reviews all applications and refers applicants who meet the minimum qualifications to the hiring department via PeopleAdmin.
  • Note: The hiring department is not able to view the applications until HR releases the applications.

How to fill an Unclassified or Faculty position?

2. Create the position in PeopleAdmin and attach the signed Strategic Hire Form to the position posting.

3. Once position is approved by all parties, it will be posted for 7 business days. If the position is to be advertised with outside advertising sources, HR will place the ad(s) with the requested sources.

4. Interview and Selection Process:

  • The search committee reviews all applications.
  • The hiring department and the search committee must follow the Office of Equity and Inclusion hiring policies and procedures (Part 1-screening chart & Part 2)
  • The search committee determines which applicants to interview.
  • Once a selection is made, hiring department must contact the Office of Equity and Inclusion (937.775.3207) for approval to make an offer.

5. Verbal Offer and Background Checks:

  • Hiring department makes a verbal offer 'contingent on successful background check results'.
    • All new hires must go through a criminal background check process.
  • Once the 'verbal' offer is accepted, the hiring department must contact HR to request a background check.
  • HR conducts all background checks and notifies the hiring department, once the results are received.
  • Once the background check process is completed and the applicant is approved for hire, the hiring department must complete and submit a Personnel Action Form to HR along with a copy of the offer letter and the 'Status of Position Offered Form'.
    • The hiring department initiates and sends the formal offer letter.
    • The Office of Equity and Inclusion sends the 'Status of Position Offered Form' to the hiring deparment.
  • The hiring department must update the applicants' statuses in PeopleAdmin.
  • PeopleAdmin automatically notifies the applicants who are not selected for the position.

Temp Employment

Effective March 1, 2010, Wright State University has designated Employment Plus as our exclusive partner for regular temporary positions, and Crown Services, Inc. as our exclusive partner for payrolling temporary staff. This contract is administered by the Department of Human Resources and the Purchasing Department, and applies to Dayton Campus, satellite campus locations, Lake Campus and Ervin J. Nutter Center. Departments may no longer obtain temporary staff from other vendors.

A Temporary Employment Job Order Form (PDF) must be completed and submitted to Human Resources before hiring a temporary employee.
