Glenn Hwy., Dayton, OH 45435 Closing Date: June 1, 2008 Position Summary: This position provides all, academic, administrative and clinical support to the Chair of the WSU Boonshoft School of Medicine Department of Obstetrics and Gynecology. This position serves as a liaison between Department faculty, staff, and residents between the four branches of this department: Boonshoft School of Medicine, WSP, MVH, and WPAFB and must be knowledgeable about various aspects of each institution according to their relationship to the Department. In addition, this position is responsible for the supervision of the administrative staff which includes WSP and MVH employees. Education and Experience: Bachelor's degree in business administration or related field with 3-5 years of administrative experience including supervision of employees. Strong communication skills ( both written and oral); skill in operating standard PC software applications (word processing, spreadsheets, etc.); knowledge of acceptable basic administrative techniques. Preferred: Bachelor's degree with 5-8 years administrative experience. Working Conditions: Located at Miami Valley Hospital; light lifting and filing, seated at desk required. Position Description: Serves as the Executive Assistant to the Department Chair. Manages chair’s schedule, writes letters, searches literature, prepares grant applications, prepares and submits manuscripts for publication in journals and books, coordinates travel and coverage arrangements for attendance at academic meetings. Acts as the staff support of the department Faculty Development Committee. Manages the appointment and promotion process for WSU faculty; manages the evaluation processes for both WSU and WPAFB faculty. Serves as liaison for Chair in communications with WSU & WPAFB faculty, other WSU university departments, MVH administrators, and general public, including multiple national organizations. Develops and maintains departmental Policies and Procedures Manuals and acts as a resource for any information regarding MVH, WSU, or SOM policies. Assists Chair with current events, activities, and developments occurring within the department, hospital, or university and advises on action to be taken. Participates with or for Chair at selected meetings. Coordinates completion of recommendations for privileges for past faculty members. Maintains vacation/leave requests and balances for WSU Faculty and Staff. Manages day-to-day operations of the department involving supervision of secretarial staff – both MVH & WSP, project assignments, staff vacation/leave requests, staff work schedule. Manages hiring and termination paperwork for secretaries through appropriate MVH and/or WSP processes. Reassigns duties of absent staff members to other staff members as appropriate to ensure that WSU faculty members receive seamless administrative support. Plans and executes departmental social events, including annual meetings, holiday party, and faculty retreats. Manages day-to-day computer operations and quality assurance involving dept. computer systems, including network and hospital-wide network. Manages the development and maintenance of the departmental database. Key departmental contact for computer operations. Provide extensive knowledge of hardware and software for the department. Promotes increased efficiency and effectiveness of department through development, instruction, and introduction of new technology. Provides computer training and assistance to other support staff.
