Position Number: 08C088 Department: Computer Science & Engineering Full-time/Part-time Status: 100% FTE Pay Rate: $12.53/hr. Closing Date: May 20, 2008 Position Summary: To provide a high level of administrative support for Dr. Amit Sheth and the Kno.e.sis Center by independently and proactively managing all day-to-day activities; to gather, analyze, generate, and maintain financial and other records in accordance with University policy and using University systems, including confidential financial and academic databases; to work on special projects as needed; to interpret and communicate policy to Kno.e.sis personnel and externals and to supervise students/staff as required; to work on custom, often complex, projects including special reports, confidential correspondence, publications, and course documentation. Education/Experience: Associate’s degree and 2 years of full time related work experience OR a high school diploma and 6 years of full time related work experience; excellent verbal/communication skills; experience in writing, editing, and budget management; ability to calculate basic math; considerable knowledge and skills to utilize current office equipment and a variety of complex software packages required. Demonstrated skills/knowledge of additional software may also be required. WSU Testing/Examinations Required: Business Vocabulary, Business Grammar, Business Spelling, Word-Standard Position Description: Manage external communications, events, and visitor activities: Represent Kno.e.sis: maintain lines of communication with University, industry, and other clients; Maintain contents of Kno.e.sis website; update and prepare for publication; Schedule and help prepare and produce written communications including special correspondence, brochures, presentations, and other custom materials from Kno.e.sis Center; Consult with internal and external clients to provide appropriate technical and other support for conferences and events; Coordinate visits, greet visitors, assist Kno.e.sis personnel in hosting them. Grant/contract and proposal management: Coordinate proposal preparation and submission following RFP/BAA instructions as set out by NSF, NIH, DOD, etc. Edit, proofread, and word-process grant/contract proposals; Coordinate and support activities of Kno.e.sis personnel in meeting milestone and reporting requirements; Coordinate and help prepare budgets and other documents, working with RSP; Coordinate and monitor workflow and schedules to ensure deadlines are met; Analyze grant accounts, manage budgets, create and maintain detailed reports for short and long-range planning; Manage acquisition and disposal of capital and non-capital equipment and supplies. Support routine activities of Eminent Scholar and Kno.e.sis Center: Manage calendars, schedules, and communications related to Eminet Scholar activities; Copy, collate, scan, fax, mail, and file documents as needed; Support travel itineraries, bookings, updates, reimbursements; Purchase, inventory, and maintain supplies and office equipment; Reconcile expenditures against funds, including procurement card purchases, monthly and in keeping with requirements of internal and external auditors. Prepare and update student contracts and records; Coordinate student activities including CPTs and OPTs, visa requirements, exchange visitor accommodations, in accordance with University policies; Provide work direction to student and staff of Kno.e.sis; Set priorities and manage multiple activities; Work independently to resolve problems relating to day-to-day operations while keeping short- and long-term goals in view.
