CTL Policy #707: Videotaping a Class

Booking the videotaping of an on-campus Wright State University class requested by faculty, staff, or student.

  1. Requests for videotaping an on-campus Wright State University class must be received 2 working days prior to the day in which the videotaping is to occur.
  2. Requests for videotaping an on-campus Wright State University class are first referred to the CTL front desk.
  3. The Front Desk Receptionist asks the client if they will provide the tape(s) or purchase them from the CTL (see note below), and whether additional copies will be needed. The Front Desk Receptionist also informs the client that the Classroom Services Coordinator must confirm the availability of CTL staff to videotape the class, and he/she will contact the client if there is a conflict. The Front Desk Receptionist then books the request in the CTL job database.
  4. The Classroom Services Coordinator checks availability of a Classroom Services Student Employee to videotape the class. If the request cannot be accommodated, the Classroom Services Coordinator contacts the Video Production Manager to see if the Facilities Team can accommodate the request. If the Facilities Team cannot accommodate the request the Classroom Services Coordinator then contacts the client to make alternative arrangements (i.e., recommend that the client checks out a camcorder at the CTL front desk and does the videotaping themselves).
  5. Once the job has been completed, the tape is handled per the client’s instructions (i.e., given directly to the client, returned to the CTL for duplication, etc.)
  6. If copies have been requested, they shall be made by following the Tape Duplication Procedure.

Note:

  • The Front Office staff should encourage all clients to purchase professional-grade videotape from the CTL. If they insist on using their own tape, encourage them to purchase new, professional grade videotape as older, worn-out tapes can break and/or jam the camcorder.
  • Contact the Video Production Manager (X3688) for non-classroom videotapings and for classroom videotapings in Russ Engineering.
  • The CTL will only videotape classes that are held on Wright State University’s main campus.
