BulkMail
Services handles label generation, mail list processing, addressing
of on-campus mailings, and preparation of off-campus mailings consisting
of 200 or more pieces.
On-campus
mail addressing is available with either adhesive labels or by printingaddresses
directly on a mail piece using the VideoJet inkjet addressing system.
Inkjet addressing is the preferred method for on-campus distribution
and reduces time and expense associated with adhesive label generation.
Campus distribution pieces may be addressed either from the HRS database,
from your own address data file, or from application of your existing
adhesive labels.
Bulk Mail Services
is able to generate adhesive labels based on information in the Human
Resources database. This database is updated frequently, and labels
are generated as requests are received. Therefore, the information is
as current as possible. With this in mind, please allow three days lead
time for printing and delivery of labels. Label set selection is typically
based on combinations of deans and directors, faculty, unclassified
staff, and classified staff. However, any specific subset of university
employees may be selected to meet your addressing requirements. Please
contact Printing Services to discuss specifics for your intended mailing.
Bulk Mail Services
also handles the processing and manipulation of address data files in
preparation for either on-campus or off-campus mailing. The preferred
format for data is a tab-delimited text file, that can be created by
most word processing and data base programs. Files may be transferred
to Printing Services by floppy disks, e-mail attachment, or FTP transfer.
Please contact Printing Services for specifics on field layout, file
formats, and transferring your files. A Mailing Requisition 5710 should
be sent when files are e-mailed or transferred.
Off-campus mailing
represents the most complex aspect of Bulk Mail Services. Printing Services
will work with you throughout the development of your mail piece to
ensure your mailing meets United States Postal Service requirements
and is mailed at the lowest possible cost. Printing Services utilizes
inkjet addressing to allow our clients to take advantage of substantial
U.S.P.S. automated mailing discounts as well as reducing presorting
time and expense. For inkjetting, it is recommended to use a 60# offset
paper. Some paper colors and fiber papers are not recommended for U.S.P.S.
mailings. An automated mailing may consist of as few as 200 identical
pieces for Presorted Standard Rate or Nonprofit, or 500 pieces for First-class
mail. If you are planning a Nonprofit rate mailing, please note that
U.S.P.S. requirements for this rate have become more restrictive in
recent months. To avoid possible rejection of your Nonprofit piece,
contact Printing Services well in advance of your mailing date to have
your material reviewed.
